Setting Your Business Up For Success!

Setting a Review Schedule Will Save You Time and Grief
For some people the words Policy and Procedure instantly bring on a headache making them search for any other task to distract them. It doesn’t have to be that way! When you have policies and procedures already created the hard work is done, but if you don’t review and maintain them on a consistent basis you risk having them become outdated creating a potential liability for your business. By setting a review schedule in your calendar you are able to be in control of the amount of review you do at one time while ensuring all documents are accounted for.
Guidelines Towards Success
- Review every policy along with its procedures annually. Create a master list of all your policy names, the date they were created and the date they were last reviewed. Schedule just a few policies to be reviewed at a time with a break between the next batch to avoid overloading. As long as each policy is reviewed annually the date to which is in your control!
- Be sure the actual policy has a creation date and review date stated. This is a good check and balance between your master list and the policy itself that a review has actually been completed. Once your review is complete don’t forget to update the review date on the policy, you did the work, take the credit!
- Be proactive not just compliant. While you are reviewing your policies you of course need to ensure your practices are in line and compliant with your policy, but also take the opportunity to notice if there are areas that are vague or lacking. For example if managers have a work cell phone assigned to them, but there isn’t a Cell Phone Use Policy perhaps one should be created. Being proactive is much less work in the long run.
- Be sure your employees can find your documents. You put quality time into creating and reviewing these documents, but if your employees don’t know where to access them it will all be for nothing. During employee performance reviews remind your employees what policies are in effect and where to find them.
- Ensure your employees understand your policies and procedures. From time to time it is important to ensure that your employees understand your policies and procedures and are consistently following them. Pick a few to review at a staff meeting, during an employee performance review or a training and development session. Don’t make it feel like a test, instead present the opportunity as way for you to support your employees in their ongoing success.
